Position Summary Women's Mentoring Network, Inc. is a nonprofit dedicated to advancing workforce development, financial literacy, and digital literacy in the community. We are seeking a highly organized, dependable, and communications-minded Office Assistant / Program and Communications Coordinator to support the Executive Director and assist with administrative operations, program activities, events, marketing, public relations, and digital communications. The successful candidate will be comfortable managing multiple priorities, working independently, communicating with a wide range of audiences, and representing the organization in a professional and welcoming manner. This role is ideal for someone who is detail-oriented, creative, community-minded, and interested in supporting programs that help individuals build employment, financial, and technology skills.
Key Responsibilities:
Office Support
- Support the Executive Director with scheduling, appointments, correspondence, meeting preparation, and follow-up.
- Manage calendars, appointments, and administrative deadlines.
- Organize electronic and physical files and maintain accurate records.
- Update the organization's mailing address file.
- Purchase office supplies, including stamps and materials for programs and events.
- Prepare supporting documentation for bookkeeper on a monthly basis.
- Organize and categorize debits and credits for bookkeeping purposes.
- Maintain confidentiality when handling financial, donor, participant, volunteer, and organizational information. Program and Workshop Support
- Assist with the coordination of workforce development, financial literacy, and digital literacy programs.
- Pick up and purchase food and refreshments for workshops and training sessions.
- Prepare workshop materials, sign-in sheets, name tags, and participant resources.
- Upload presentations, handouts, and program materials to Dropbox.
- Help organize and maintain program documentation.
- Assist with participant communications, reminders, and follow-up, including social media posts.
- Support the preparation of presentations for workshops, community meetings, funders, and other audiences. Marketing, Public Relations, and Social Media
- Assist with the development and implementation of marketing and communications activities.
- Create and update flyers, announcements, newsletters, presentations, and promotional materials.
- Draft and distribute press releases, public announcements, thank-you messages, and other communications.
- Maintain and update the organization's social media platforms.
- Create, schedule, and monitor social media content related to programs, events, accomplishments, and community initiatives.
- Collect program updates, photographs, testimonials, and success stories for marketing and public relations purposes.
- Maintain consistent branding, messaging, and presentation of the organization across communication channels.
- Support outreach to community partners, employers, funders, members, volunteers, and other stakeholders.
- Update email lists in both Dropbox and Mailchimp.
- Manage general email correspondence and direct inquiries to the appropriate person. Membership, Volunteer, and Community Support
- Process membership fee payments, including payments to BCW and WWA.
- Update volunteer information and maintain current volunteer records.
- Prepare and send thank-you letters and emails to donors, members, volunteers, partners, and supporters.
- Assist with outreach and relationship-building with community organizations and partners. Event Coordination
- Assist with planning and coordinating workshops, fundraising activities, community events, and organizational meetings.
- Send invitations and coordinate the printing and distribution of event materials.
- Pick up printed invitations and other event supplies as needed.
- Prepare name tags, sign-in materials, programs, and presentation materials.
- Apply for raffle permits and maintain related documentation.
- Contact businesses and individuals to request raffle-item donations.
- Pick up, organize, and inventory donated raffle items.
- Assist with event setup, communications, and follow-up.
- Pick up and purchase food, refreshments, and other supplies for events and workshops. Grants and Organizational Documentation
- Organize and maintain grant documentation.
- Assist with compiling receipts, attendance records, program statistics, reports, and other materials required by funders.
- Help collect and organize data related to workforce development, financial literacy, and digital literacy programs.
- Maintain accurate records to support grant reporting, evaluation, and organizational planning.
- Ensure files are clearly labeled, complete, and stored appropriately.
Qualifications and Skills This is a primarily administrative position involving computer work, email and telephone communication, document preparation, social media management, file organization, and coordination with staff, volunteers, partners, and community members. Occasional local travel, evening or weekend work, event support, and lifting of event materials may be required.
- Previous experience in administration, nonprofit operations, communications, marketing, public relations, or program support preferred.
- Strong organizational, time-management, and follow-through skills.
- Excellent written and verbal communication abilities.
- Experience creating presentations, flyers, newsletters, or social media content.
Computer Applications:
MS Office, MS/Excel, MS/PowerPoint, MS/Word, Google Workspace, Dropbox.- Familiarity with social media platforms and basic digital marketing practices.
- Proficiency with email, online file storage, and office software.
- Experience with Dropbox and Mailchimp is an asset.
- Experience with presentation or design tools such as PowerPoint, Google Slides, Canva, or similar platforms is an asset.
- Ability to communicate effectively with community members.
- Strong attention to detail and accuracy.
- Ability to handle confidential information professionally.
- Ability to work independently and collaboratively in a small nonprofit environment.
- Interest in workforce development, financial literacy, digital literacy, and community empowerment.
- Must drive.
