Job Description
Duties You will serve as an Administrative Specialist and be responsible for responding to inquiries and administrative problems brought to the Director's attention by office chiefs and providing comprehensive administrative support to the Commercial Regulations and Standards (CG-5PS) Directorate managing calendars and correspondence, scheduling meetings, coordinating travel arrangements, managing day-to-day office activities, and serving as timekeeper for time and attendance. Being a Coast Guard civilian makes you a valuable member of the Coast Guard team.
Typical work assignments include:
Exercising exclusive control over the Division Chief's appointments, with complete authority for commitments of time. Screening all correspondence prepared for the Director's signature for clarity, completeness of reply, and grammatical and procedural correctness. Following up on various personnel and related actions, such as performance evaluations and timekeeping, to ensure both evaluations and time records are completed accurately and in a timely manner for the unit. Arranging travel plans for the Director to ensure proper arrangements are made for travel. Training other administrative staff within the directorate to perform duties as to the correct procedures when submitting correspondence for signature. Assisting with budget preparation and monitoring, including processing purchase requests, invoices, and maintaining financial records. Managing the directorate's awards and informal recognition programs to include scheduling and facilitating meetings and presentations. Reasonable Accommodation (RA)Requests:

Qualifications To qualify at the GS-9 grade level, applicants must have at least one (1) full year of specialized experience equivalent to at least the GS-7 grade level in the federal sector. Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work. Examples of specialized experience include performing the following types of tasks on a regular basis. Coordinating highly visible correspondence and information requests. Planning and coordinating arrangements for professional meetings and conferences. Providing executive level administrative support to a team of senior level managers or to multiple offices/programs. Arranging travel, conferences, hearings, briefings, and/or question and answer sessions.- OR•At least one of the following if using education to qualify at this grade level: (A) Master's or equivalent graduate degree•OR•(B) 2 full years of progressively higher level graduate education, if related•OR•(C) A law degree such as an LL.
- OR•(D) A combination of specialized experience equivalent to the GS-07 level in or related to the work of this position Experience and education combinations are computed by first determining the total qualifying experience as a percentage of the experience required for the grade level; then determining the total of qualifying education as a percentage of the education required for the grade level; and then adding the two percentages.
