Job Description
POSITION SUMMARY
The Coordinator - Service coordinates, monitors and improves service activities for the service department. Ensures services are effective and customer requirements are met.JOB RESPONSIBILITIES
- Makes reservations for planned travel (international and domestic) including airline, hotel and rental car, adjustments as necessary ensuring that routes and prices are within the constraints of the travel budget.
- Documents, tracks and confirms outbound material shipments to jobsite to effectively avert any issues and to provide communication on delivery requirements to clients.
- Locates and secures rental reservations for all necessary tool requirements needed per job specifications.
- Assists in arranging programs, events, and conferences by scheduling facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
- Performs administrative duties when necessary such as filing, data entry, sending out mailings, generating reports and presentations and facilitating interdepartmental communications between internal and external parties.
- Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
- Maintains service technician sign offs for all equipment and electronics assigned.
- Coordinates and prepares all aspects of onsite/online operator certification seminars.
- Serves as backup assistance in the lunch rotation for receptionist screening and routing callers to appropriate party.
- Additional duties as assigned.
QUALIFICATIONS / REQUIREMENTS
- Associate's Degree or equivalent from two-year college or technical school in related field
- 4+ years of previous Service Coordinator experience; or equivalent combination of education and experience
- Occasional travel either locally, nationally, and/or internationally may be required.
- High degree of proficiency in MS Office Suite, Outlook & Internet applications.
- Strong analytical, prioritizing, interpersonal, problem-solving, presentation, budgeting, project management (from conception to completion), & planning skills.
- Strong verbal and written communication skills (including analysis, interpretation, & reasoning).
- Solid understanding and application of mathematical concepts.
- Ability to develop and maintain collaborative relationships with peers and colleagues across the organization, as well as, internal and external clients.
- Ability to work well autonomously and within a team in a fast-paced and deadline-oriented environment.
- Ability to work with and influence peers and management.
- Self-motivated with critical attention to detail, deadlines and reporting.
- Ability to work overtime as necessary.
