The Opportunity:
Saint Stephen's seeks a friendly organized, and detail-oriented Administrative Assistant to support the daily operations of the Upper School. Successful candidates will demonstrate warmth, professionalism, and initiative in a collaborative, fast-paced environment. They should be comfortable with technology and Google workspaces. A minimum of a bachelor's degree is required, and experience in a college preparatory school is preferred. The Upper School Administrative Assistant needs to perform the following essential functions: Administrative Support Answer phones, respond to emails, and coordinate front desk coverage Draft awards scripts and coordinate ceremonies Monitor each period's attendance, following up with teachers and families regarding absences and running weekly attendance reports Update and publish Upper School announcements for advisory, in SSESonline, and over the PA system Coordinate faculty PTO requests, and provide substitute teachers with necessary materials and instructions, ensuring they are ready to teach each day Scheduling Support Manage and update Upper School calendars Coordinate scheduling and communication with Parents' Association, students, families and faculty Schedule on-campus and off-campus events Coordinate Activity Forms for all events requested in the Upper School Facilities and Logistical Support Open Upper School buildings each morning Cover Front Desk and welcome visitors each afternoon Order supplies, manage purchases, and reconcile credit card expenses Coordinate vendor relationships for supplies and student services Assist with planning and execution of Upper School events Organize and print award certificates and manage photography logistics See Saint Stephen's in
