Job Description:
Amazing financial services firm looking for an administrative assistant/receptionist. All candidates must be bilingual, and comfortable working on site. The benefits are fantastic at the organization, and there is room for upward mobility.
Responsibilities:
Greet employees and visitors with a warm, professional demeanor, providing exceptional service and assistance. Serve as the primary point of contact for delivery services, vendors, and couriers, ensuring smooth operations. Receive, distribute, and coordinate the pickup of mail and packages, ensuring timely delivery and pickup. Collaborate with office vendors to manage service contracts, scheduling, and any ongoing service needs. Maintain inventory of pantry and office supplies, ensuring all items are adequately stocked. Answer, screen, and direct incoming phone calls, ensuring efficient communication flow. Process and reconcile travel and expense reimbursements, adhering to company policies and guidelines. Organize logistics for internal and external meetings and conferences, including scheduling, video conferencing setup, catering, preparing meeting materials, and maintaining conference areas throughout the day. Coordinate and manage departmental activities and special events, as requested. Handle sensitive information with the utmost discretion and confidentiality. Foster a collaborative and supportive environment, assisting peers and team members as needed.
Qualifications:
A maximum of 2-3 years of experience in an administrative role. Strong written and verbal communication skills are essential. Exceptional interpersonal and time management skills, with a proven ability to adapt and remain reliable in a dynamic environment. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), with basic accounting skills. Ability to master and effectively implement company administrative procedures and systems. Strong attention to detail and ability to complete tasks efficiently and accurately. Fluency in English is required
