This vital role offers the opportunity to support daily office operations, enhance efficiency, and provide exceptional customer service. As an energetic and proactive member of our organization, you will manage a variety of administrative tasks, coordinate schedules, and serve as the first point of contact for visitors and clients. Your positive attitude, strong organizational skills, and ability to multitask will help keep our office running smoothly and foster a welcoming environment for all. Responsibilities Personal assistant to the owner Operate multi-line phone systems efficiently to handle incoming calls and route messages accurately. Maintain organized filing systems, both physical and digital, including data entry, document proofreading, and record keeping. Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks to prepare reports, spreadsheets, invoices, and financial records. Coordinate calendar management and scheduling for meetings, appointments, and events while ensuring timely reminders. Provide excellent customer support by addressing inquiries promptly via phone or email while maintaining a friendly demeanor. Assist with clerical duties such as photocopying, faxing, mailing, and managing office supplies inventory. Support personal assistant tasks as needed to help executives stay organized and on schedule. Ensure accuracy in all written communications through proofreading and editing documents before distribution. Experience Prior office experience in administrative roles or reception duties is required; experience in medical or dental receptionist roles is a plus. Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent communication skills with a focus on phone etiquette; bilingual abilities are highly desirable.
