Job Description

Job Overview We are seeking a dynamic and organized Administrative Assistant / Front Desk professional to join our Administrative and Accounting team! This role requires a dynamic, charismatic professional who thrives in a fast-paced environment, brings energy and enthusiasm to every interaction, and takes initiative to improve operations. The ideal candidate is flexible, highly adaptable, eager to learn, and capable of independently identifying and acting on opportunities to support the team. This position provides organized, tech-savvy administrative support to the Administration and Accounting departments, including advanced data processing using modern AI-enabled tools to improve operational efficiency. Duties and Qualifications Serve as the organization's first point of contact; welcome and screen visitors with professionalism and warmth, following all security procedures Manage front desk operations, including office equipment maintenance and supply inventory Receive, sort, and prepare outgoing/incoming mail; operate postage equipment Answer, screen, and route incoming calls efficiently and courteously Maintain clean and organized conference rooms, front kitchen, and reception area daily Assist with in-office events, including coordinating meal orders and supporting presentations Process accounting documents including Accounts Receivable (A/R), Accounts Payable (A/P), and Journal Entries (J/E) with the accounting guidance Perform document review, filing, labeling, and digital organization with a high degree of accuracy Manage file systems and records maintenance, including creation and updating of forms and templates Apply knowledge of office and accounting terminology to communicate effectively across departments Utilize AI platforms (LLMs, Claude) to enhance data processing efficiency and automate routine tasks Proficiently use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Slack and other productivity tools for daily tasks
