This role is primarily responsible for processing incoming and outgoing payments, coordinating check requests with municipalities, associations, vendors, and clients, and ensuring accurate financial recordkeeping. The ideal candidate is dependable, organized, and comfortable managing multiple administrative tasks in a fast-paced office environment. Primary Responsibilities Receive, sort, and distribute incoming mail. Process and accurately post incoming check payments into the company system. Research and coordinate checks received without sufficient identifying information or that do not belong to the company. Prepare check deposits, including balancing totals and scanning deposits into the bank. Prepare and process outgoing mail, including payment requests and correspondence to municipalities, homeowners' associations, vendors, and clients. Prepare FedEx shipments and generate shipping labels. Organize and process vendor payments and payment requests. Conduct property-related searches and organize research documentation as needed. Receive, organize, and track customer payments for accounting purposes. Maintain accurate records and documentation for payment processing and administrative activities. Coordinate with internal departments, vendors, and clients to communicate the status of payments, requests, and related activities. Assist with general office administration, including preparing correspondence, greeting visitors, maintaining office supply inventory, and ordering supplies. Qualifications Strong attention to detail with a high level of accuracy. Excellent organizational and time management skills. High level of integrity and discretion when handling financial information. Proficiency with Microsoft Office 365 and standard office software. Strong written and verbal communication skills. Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment. Previous administrative, accounting support, banking, accounts receivable/payable, or payment processing experience is preferred. Key Attributes Highly organized and task-oriented.
