Job Description

Overview We are seeking a proactive and organized Office Assistant to join our dynamic team! This energetic role is vital in ensuring the smooth operation of daily office activities, providing exceptional support to staff and visitors alike. The ideal candidate will bring a positive attitude, excellent organizational skills, and a passion for delivering outstanding customer service. As an Office Assistant, you will be the first point of contact, manage administrative tasks efficiently, and contribute to creating a welcoming and productive environment. Responsibilities Greet visitors, clients, and vendors with professionalism and warmth at the front desk. Manage multi-line phone systems, directing calls accurately and courteously. Handle incoming and outgoing correspondence, including emails, mail, and packages. Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents. Assist with data entry, record keeping, and updating databases using Microsoft Office and Google Workspace tools. Support calendar management and scheduling for meetings or appointments using various digital platforms. Perform basic bookkeeping tasks using QuickBooks or similar accounting software. Provide administrative support such as proofreading documents, preparing reports, and managing office supplies inventory. Ensure excellent phone etiquette while delivering prompt customer support and addressing inquiries efficiently. Support office management duties to enhance overall workflow and team productivity. Requirements Proven experience in an office environment or clerical role with strong organizational skills. Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications. Familiarity with QuickBooks or other bookkeeping software is highly desirable. Excellent communication skills in English; bilingual abilities are a plus! Experience handling multi-line phone systems and providing exceptional customer service. Strong typing skills with attention to detail; ability to proofread documents accurately. Knowledge of office management procedures including filing systems, data entry, and calendar coordination. Previous experience as a receptionist or personal assistant is advantageous; medical or dental receptionist experience is a plus! Demonstrated time management skills with the ability to prioritize tasks effectively in a fast-paced environment.
