Role:
The Project Administrator at Carlton Construction plays a critical role in supporting Project Managers and Assistant Project Managers by ensuring project documentation, reporting, and communication are consistently accurate, organized, and accessible throughout the life of a project. This role is responsible for coordinating project setup activities, maintaining project files and drawings, supporting meetings and documentation, assisting with closeout processes, and helping ensure teams have the information they need to execute successfully. - Support Project Managers and Assistant Project Managers throughout all phases of construction projects
- Prepare project startup materials, job trailer documentation, and superintendent project setup packages
- Coordinate Internal Kickoff Meetings and Post-Mortem Meetings, including agendas, invitations, documentation, meeting minutes, and follow-up action items
- Attend meetings and document discussions, decisions, and action items as required
- Maintain project files using established naming conventions and organizational standards
- Manage electronic project folders and documentation to ensure information remains current and accessible
- Maintain project drawings within Procore and coordinate drawing distribution and printing as needed
- Order and coordinate delivery of field documentation including drawings, agreements, submittals, RFIs, signage, and related materials
- Communicate with subcontractors regarding project documentation and closeout requirements
- Collect closeout documents and prepare project closeout binders in accordance with company standards
- Coordinate regularly with Project Managers, Assistant Project Managers, Superintendents, and subcontractors to support project needs
- Identify opportunities to improve workflows, efficiency, and documentation processes What you bring:
- Experience supporting construction projects, project administration, or related administrative functions (preferred)
- Experience with Procore or similar construction management software (preferred)
- Associate's or Bachelor's degree in Business, Construction Management, Project Management, Communications, or a related field (preferred)
- Strong organizational and document management skills
- Punctual, reliable, and able to consistently meet deadlines and expectations
- Excellent written and verbal communication abilities
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Strong attention to detail and commitment to accuracy
- Ability to work collaboratively across multiple project teams
- Proficiency with Microsoft Office Suite and digital document management systems
- Systems-oriented mindset with a focus on efficiency, consistency, and continuous improvement
