Job Description

We are seeking an organized, flexible, and personable Administrative Assistant to join our team. This is a full-time position ideal for someone who thrives in a fast-paced, small-office environment and is willing to jump in wherever needed to keep things running smoothly. About the Role As the sole administrative professional at our Fort Walton Beach location, you will be responsible for the daily operations of the office and serve as the first point of contact for our clients. You'll work independently day-to-day while receiving guidance and direction from management based at our Crestview location. We're looking for someone adaptable who takes initiative and handles the unexpected with a level head.
Please note:
Training will take place at our Fort Walton Beach location, working directly alongside current staff to learn our systems and workflows. Key Responsibilities Serve as the primary point of contact for clients, both in person and over the phone, ensuring a welcoming and professional experience Answer and manage incoming phone calls promptly and efficiently, including scheduling appointments quickly and accurately Navigate a full weekly calendar view across multiple providers to identify appointment openings efficiently Maintain accurate, error-free scheduling records across all clinician calendars Assist with payment collection and related administrative tasks Navigate and maintain records within Electronic Health Record (EHR) systems Manage the day-to-day office independently while remaining receptive to direction from management at our other location Qualifications 3-5 years of administrative or office experience required Medical office experience preferred, with a working understanding of health insurance (verification of benefits, copays, deductibles, etc.) Bilingual — fluent in both English and Spanish (required) Experience working with EHR systems and multi-provider scheduling strongly preferred Demonstrated ability to work quickly and accurately in a fast-paced, high call-volume environment Flexible, adaptable, and willing to take on tasks outside a narrow job description Strong receptiveness to feedback and direction, especially from supervisors working remotely Outstanding customer service skills, both in person and by phone Compassionate, patient demeanor when working with clients and colleagues What We're Looking For The ideal candidate is someone who takes ownership of the office without needing constant oversight, but who also welcomes guidance and doesn't bring a rigid "this isn't my role" mentality. This is a small-office environment where flexibility and a team-first attitude matter as much as administrative skill.
