Non-Exempt Position Summary Bridgeway Center, Inc. (BCI) is seeking a dependable, detail-oriented Administrative Assistant to join our Driving Under the Influence (DUI) Program. This is a Full-Time (FT) position. The DUI Program is licensed and regulated by the Florida Department of Highway Safety and Motor Vehicles (FLHSMV), Bureau of Motorist Compliance, under Chapter 15A-10, Florida Administrative Code (F.A.C.), and Florida Statute 316.193. The Administrative Assistant plays a critical role in ensuring that client registration, records, and reporting meet these state requirements. The Administrative Assistant is a high-performing, self-directed professional who can work independently with minimal supervision while managing a fast-paced front desk and administrative workload. This individual is responsible for registering clients into DUI Level I and Level II education courses and Special Supervision Services, verifying court orders and referral paperwork, entering and maintaining accurate client data, scheduling classes and evaluations, collecting fees, and preparing state-required completion documentation. Strong customer service skills are essential, as the Administrative Assistant is often the first point of contact for clients navigating a difficult and sensitive legal process. The Administrative Assistant prepares client charts in advance of appointments, classes, and evaluations, and is responsible for ensuring that every chart and every piece of data entry is accurate and completely filled out before and after each client encounter. This role requires excellent organizational skills and time management to plan ahead, juggle multiple deadlines, and keep the office running smoothly, along with a proactive attitude and a genuine willingness to step in and assist wherever the DUI Program needs support. Duties / Responsibilities
Responsibilities include, but are not limited to: ? Register clients into DUI Level I, Level II, and Special Supervision Services in accordance with court orders, referral documentation, and FLHSMV requirements. ? Verify client eligibility, court paperwork, and driving history documentation for accuracy and compliance prior to registration. ? Prepare client charts and files in advance of scheduled appointments, classes, and evaluations, ensuring all required forms, court documentation, and paperwork are ready and in order before the client arrives. ? Review charts and client records on an ongoing basis to ensure all documentation and data entry are accurate, complete, and filled out in full; follow up promptly to correct or obtain any missing information. ? Conduct routine quality checks of client files to confirm compliance with FLHSMV documentation standards prior to submission or audit. ? Enter and maintain client information in the DUI Program's data system, ensuring timely, complete, and accurate data entry. ? Update client records promptly as new information, court orders, or documentation is received, keeping charts current throughout the client's time in the program. ? Schedule DUI education classes and evaluation appointments with Certified Evaluators; reschedule appointments as necessary. ? Organize and manage a daily/weekly schedule of registrations, appointments, and class preparation tasks, applying strong time-management skills to ensure nothing is overlooked or delayed. ? Answer the telephone promptly and professionally, directing calls to the appropriate person or department. ? Greet clients and other visitors to the office in a warm, professional manner, providing superior customer service even in difficult situations. ? Collect payment for services (cash or credit card) and provide receipts; balance and reconcile the cash drawer daily. ? Prepare and issue certificates of completion, and submit required completion reports to FLHSMV within the required timeframes. ? Maintain strict client confidentiality in all interactions and handling of records. ? Prepare materials, paperwork, and classrooms in advance of scheduled classes to ensure sessions run smoothly and on time. ? Explain DUI program requirements, course options, and procedures clearly to clients. ? Assist with filing and maintaining documentation needed for FLHSMV audits and program compliance, keeping files organized and easily retrievable. ? Communicate and coordinate with instructors, evaluators, courts, and probation officers as needed. ? Proactively identify gaps in coverage or workload within the DUI Program and offer assistance wherever needed, supporting coworkers and supervisors to keep the office running smoothly. ? Maintain an organized front office and filing system, prioritizing tasks effectively to meet deadlines tied to court dates, class start dates, and FLHSMV reporting requirements. ? Order and maintain office and program supplies as needed. ? Assist with mail, correspondence, and other clerical support functions for the DUI Program. ?
