This position serves as a key point of contact for customers and helps ensure smooth coordination between office staff, technicians, and management. Responsibilities Answer phones and respond to customer emails. Schedule onsite and in-lab calibration services. Prepare quotes, work orders, invoices, and customer documentation. Maintain customer records and update company software. Receive equipment from customers and assist with the check-in process. Track customer equipment throughout its time in our facility and ensure records and status updates remain accurate and up to date. Coordinate shipments and deliveries using FedEx, UPS, DHL, couriers, and other carriers. Pack equipment for shipment and prepare shipping documentation. Assist with replacing expired calibration stickers and applying updated calibration labels to recently calibrated equipment. Track calibration due dates for customer and company-owned equipment. Coordinate with vendors and subcontractors regarding services, quotes, deliveries, and purchase orders. Assist with tracking certificates, service reports, and calibration due dates. Support billing, filing, and general office operations. Provide excellent customer service and follow up on customer requests. Qualifications High school diploma or equivalent. 1+ year of administrative, customer service, or shipping experience. Proficiency with Microsoft Office (Word, Excel, Outlook). Strong communication, organization, and multitasking skills. Bilingual (English/Spanish) preferred.
