In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and exceptional support for staff and clients alike. Your proactive approach, combined with strong office management skills, will help create an efficient, welcoming environment. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and provide excellent customer support Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for accurate record-keeping and bookkeeping Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Support calendar management and scheduling for executives or team members, including appointment setting and reminders Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies Provide exceptional customer service by addressing inquiries promptly and professionally in person or via phone or email Requirements Proven office management or administrative experience with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent phone etiquette and customer service skills; bilingual ability is a plus Familiarity with multi-line phone systems, data entry, filing, and calendar management tools Strong typing skills with attention to detail for proofreading and document accuracy Previous experience in medical or dental receptionist roles or as a personal assistant is advantageous Ability to handle multiple tasks efficiently while demonstrating excellent time management skills Knowledge of office procedures such as filing systems, clerical practices, and office equipment operation Join us as an Administrative Assistant where your enthusiasm and organizational prowess will make a real difference!
