Job Description

Job Overview We are seeking a dynamic and compassionate ABA & Mental Health Front Desk Specialist to be the welcoming face of our clinic. This vital role involves managing front office operations, providing exceptional customer service, and supporting both administrative and clinical teams. The ideal candidate is energetic, organized, and possesses excellent communication skills, including bilingual abilities if applicable. You will serve as the first point of contact for clients, families, and visitors, ensuring smooth daily operations while fostering a warm and professional environment. Responsibilities Greet clients, families, and visitors warmly, creating a positive first impression of the clinic. Manage multi-line phone systems efficiently, directing calls to appropriate staff members with professionalism and courtesy. Schedule appointments and coordinate calendar management for clinicians and administrative staff using Google Workspace or similar tools. Handle data entry tasks accurately, including client records, billing information, and appointment logs using computer literacy skills. Maintain organized filing systems—both digital and physical—ensuring confidentiality and easy retrieval of documents. Support office management duties such as inventory tracking, supply ordering, and basic bookkeeping with QuickBooks or similar software. Provide exceptional customer support by addressing inquiries promptly, assisting with paperwork, and ensuring client satisfaction. Proofread correspondence and documentation for accuracy while maintaining high standards of phone etiquette and professionalism. Qualifications Previous office management or clerical experience in a healthcare or mental health setting preferred. Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), data entry, and general computer literacy. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Experience with multi-line phone systems and customer service is essential. Bilingual abilities are highly desirable to serve diverse client populations effectively. Knowledge of administrative tasks such as filing, proofreading, calendar management, and basic bookkeeping (e.g., QuickBooks) is preferred. Demonstrated professionalism with phone etiquette and personal assistant experience is a plus. Ability to manage time efficiently while maintaining attention to detail in all responsibilities.
