Job Overview We are seeking a dynamic and organized Office Personnel to join our Homeowners Association (HOA) team. In this vital role, you will serve as the first point of contact for residents, vendors, and visitors, ensuring smooth daily operations of the HOA office. Your energetic approach and attention to detail will help foster a welcoming environment while managing administrative tasks efficiently. This paid position offers an exciting opportunity to contribute to community well-being through excellent office management and customer service. Responsibilities Greet residents, visitors, and vendors with professionalism and a friendly demeanor at the front desk Manage multi-line phone systems, directing calls accurately and courteously Handle data entry tasks using computer skills, including updating resident records and maintaining filing systems Assist with administrative duties such as proofreading documents, organizing files, and managing correspondence Support community events and meetings by preparing materials and coordinating logistics Maintain confidentiality of sensitive information while providing exceptional customer support and client communication Requirements Proven office management or administrative experience in a professional setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) Experience with bookkeeping software like QuickBooks is highly desirable Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Bilingual abilities are a plus to assist diverse community members Exceptional phone etiquette and communication skills for handling inquiries via phone or in person Ability to handle confidential information responsibly with integrity Prior clerical or customer service experience preferred; personal assistant experience is a bonus Strong time management skills to prioritize tasks efficiently Join us in creating a positive community atmosphere by providing outstanding office support!
