This role will require someone who is able to pay attention to detail, keep clear records and communicate with customers. Most days will be full of paperwork, creating delivery documents, filing, and general office duties but there may be times where you are simply there to answer the phone and aid in any paperwork questions for our loading team. We are a two person office and both the office manager and administrator will be in the same room each day. Dress Code is casual but professional. We have a small office dog who is with us daily as well. Responsibilities Manage front desk duties, including greeting visitors (we are not open to the public but do occasionally have applicants, sales persons, vendors, etc drop in), answering the phone and taking messages, collecting mail. Create detailed paperwork for deliveries. Sort daily paperwork from drivers Run credit card transactions and provide emailed receipts to customers Weekly office cleaning, plant watering and trash removal Perform data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and word processing tools. Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents and records. Pulling files when requested. Support office management activities by handling supply inventory, coordinating repairs, taking orders, sorting paperwork for deliveries and overseeing general administrative tasks. Provide exceptional customer service by responding promptly to inquiries via phone or email, offering support or directing requests appropriately. General Clerical duties, copying, scanning, and faxing documents as needed. Assisting in payroll processing, collecting timecards, inputting hours into spreadsheets, etc. Qualifications Proven experience in an office environment with strong clerical skills and familiarity with office management practices. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with excellent typing and computer literacy skills. Experience with QuickBooks accounting software. Ability to operate multi-line phone systems efficiently while maintaining excellent phone etiquette. Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members. Strong organizational skills with keen attention to detail; capable of managing multiple priorities simultaneously. Previous experience in customer service or front desk roles that demonstrate professionalism and effective communication skills. Technical proficiency in productivity software, spreadsheets, data entry, proofreading, filing systems, and calendar management is essential.
