Job Description
Diamond Minds Transformational Leadership Academy is a year-round, private Pre-K through 8 school designed to ensure that each child receives a holistic education which nurtures their physical, emotional, intellectual, social, aesthetic and spiritual needs. We educate students from a range of communities around the greater Miami area including, Miramar, Little Haiti, Liberty City, Miami Gardens and Aventura. Despite its private status, the school is populated primarily by students who traditionally receive free and reduced lunch. This is possible because of scholarship programs such as Step Up for Students and McKay, as well as internal scholarships supported by donations and fundraising efforts. We are seeking a to hire an Admin Assistant for our Diamond Minds TLA program
Min Requirements:
High School Diploma or GED 1yr experience as an Admin Assistant in a school environment, a plus Computer experience/Microsoft Office efficient Good grammar and English Skills Bilingual preferredSpecific Job Duties:
Provide typing for the Program. Collect and log attendance daily. File all updated paperwork into main files in a timely manner. Distribute letters/memos to staff/parents. Put together files for new children entering the school. Develop & update all lists as needed (OT/PT, history/immunizations, allergies, custody, under 3,etc.) Inspect main files regularly to ensure that all forms are current. Route changes in address and/or phone #'s weekly. Attend staff meetings bi-weekly. Request medical records as needed. Translate forms when needed. Interpret for parents who speak Spanish whenever possible. Maintain intake log on all children who enter or exit program. Complete record requests and mail to community agencies. Develop flyers/agendas for meetings. Terminate files when children exit the program. Update databases to reflect any pertinent information on each child. Assist in completion of department copying. Maintain strict confidentiality when required by nature of access to confidential information. Complete special projects as needed. Completes work accurately. Completes work in a timely manner. Monitor attendance. a. Maintain monthly log on each child's attendance. b. Send attendance letters to families as needed. Assist in completion of monthly billing Monitor immunization, physical and PT orders. a. Maintain monthly list of expired records. b. Send reminder letters to families as needed. c. Report on status of records during department meetings. Records file drills. All other related duties as assigned. Record and box files annually for children who have been terminated. Assist in classrooms when short staffed.Job Type:
