ADMINISTRATIVE ASSISTANT/PERSONAL ASSISTANT
Miami Gardens, FL Full-Time | Monday-Friday | 8:00 AM - 5:00PM Boys & Girls of Transformation Mentoring Program, Inc . is a Christian-based 501(c)(3) nonprofit organization dedicated to transforming the lives of youth ages 10-17 through mentorship, leadership development, academic enrichment, life skills training, and biblical principles. Because we are a Christian nonprofit organization, we seek candidates whose personal Christian faith aligns with and supports our biblical mission and values. We're seeking a highly organized, dependable, and professional Administrative Assistant/Personal Assistant to provide executive-level support to our Executive Director. This is an excellent opportunity for someone who enjoys working in a Christ-centered, mission-driven environment and is passionate about empowering youth through mentorship, leadership, and faith.
Position Overview:
The Administrative Assistant/Personal Assistant is responsible for supporting the daily administrative and executive operations of the organization. This position requires exceptional organizational skills, excellent communication abilities, sound judgment, and the ability to manage multiple priorities while maintaining confidentiality and professionalism. The ideal candidate is proactive, detail-oriented, self-motivated, polished, and capable of working independently with minimal supervision.
Responsibilities:
Provide administrative support to the Executive Director and Director. Manage calendars, appointments, meetings, and scheduling. Draft professional letters, emails, reports, and correspondence. Prepare and monitor monthly invoices. Conduct research on grant opportunities and funding sources. Maintain confidential files and organizational records. Organize electronic and paper filing systems. Develop and improve administrative procedures and office systems. Create spreadsheets, reports, forms, and presentations. Answer phones and greet visitors in a professional manner. Order office supplies and maintain inventory. Assist with planning meetings, workshops, special events, and fundraisers. Coordinate travel arrangements and itineraries when necessary. Run personal and business errands for executive leadership. Assist with personal scheduling and executive priorities. Handle sensitive information with discretion and confidentiality. Perform additional administrative and executive support duties as assigned.
Qualifications Required:
Associate Degree (Bachelor's Degree preferred) Minimum of 5 years of administrative experience Minimum typing speed of 50 WPM Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint) Proficiency with Google Workspace (Docs, Sheets, Forms, Drive) Excellent written and verbal communication skills Outstanding organizational and time management skills Strong proofreading and professional writing abilities Ability to multitask and prioritize responsibilities Valid Florida Driver License Reliable transportation Professional business attire and polished appearance required
