POSITION SUMMARY - CANDIDATES MUST BE LOCATED IN FL
Our customer is seeking a detail-oriented Project Administrator to support our OSP Construction team by managing project closeout documentation, as-built packages, and customer invoicing. This position plays a critical role in ensuring completed work is accurately documented, submitted on time, and invoiced promptly to maintain customer satisfaction and improve company cash flow. No telecommunications experience is required. We will provide training to the right candidate who possesses strong organizational skills, attention to detail, and the ability to manage multiple priorities.
PRIMARY RESPONSIBILITIES
As-Built Administration
  • Prepare, review, and complete OSP as-built documentation.
  • Verify all required project documentation is complete before submission.
  • Coordinate with field supervisors, project coordinators, and technicians to obtain missing information.
  • Ensure as-built packages meet customer specifications and quality standards.
  • Track project closeout status through completion.
  • Maintain accurate records of all completed work. Invoicing
  • Prepare customer invoices from completed work orders.
  • Verify quantities, pricing, and supporting documentation.
  • Submit invoices within customer-required deadlines.
  • Track invoice status from submission through approval.
  • Assist with correcting rejected invoices and resubmitting them promptly.
  • Work with customers and internal teams to resolve billing discrepancies. Project Support
  • Assist Project Coordinators and Project Managers with daily administrative tasks.
  • Maintain accurate electronic project files.
  • Update project tracking systems and spreadsheets.
  • Monitor project deadlines and communicate outstanding items.
  • Coordinate with operations to resolve documentation issues.
  • Support multiple projects simultaneously. Documentation & Quality Control
  • Review completed work for accuracy before submission.
  • Ensure customer-required forms are completed correctly.
  • Maintain organized digital records.
  • Help reduce invoice delays caused by documentation errors.
  • Follow company processes and continuously identify opportunities for improvement.

QUALIFICATIONS
  • High School Diploma or GED required.
  • Associate's degree preferred but not required.
  • Strong computer skills including Microsoft Excel, Outlook, and Word.
  • Excellent organizational and time management skills.
  • Strong attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Positive attitude and willingness to learn.
  • Construction administration experience is a plus but not required.
  • Telecommunications or OSP experience is preferred but not required.
PREFERRED SKILLS
  • Experience with invoicing and billing.
  • Experience reviewing construction documentation.
  • Knowledge of fiber optic or CATV construction.
  • Experience using project management software.
  • Experience working with customer portals.
