This role combines administrative, operational, and sales support responsibilities, including coordinating sales campaigns, preparing presentations and reports, supporting day-to-day operations, managing communications, and assisting with special projects. The ideal candidate possesses strong professional communication skills in both English and Spanish, excellent organizational abilities, flexibility, attention to detail, and the ability to manage multiple priorities while maintaining professionalism and confidentiality at all times. Essential Duties and Responsibilities Provide high-level administrative and operational support to company leadership and the sales department. Assist in the coordination and execution of sales campaigns, advertising initiatives, and special projects. Prepare, edit, and analyze presentations, including professional PowerPoint presentations, reports, spreadsheets, and other business documents. Coordinate and track sample shipments for customers and prospects. Coordinate projects, prioritize tasks, and support day-to-day business operations. Support communication and follow-up with vendors, customers, internal departments, and company leadership. Collaborate directly with the VP and other departments to support operational and sales-related initiatives. Maintain organized records, files, and sales-related documentation. Assist with scheduling meetings, appointments, conference calls, and business-related activities. Provide direct support to the VP, including coordination of projects, communications, presentations, and operational activities. Serve as a professional first point of contact for visitors, customers, vendors, and internal communications. Provide front desk and general office operational support as needed. Handle sensitive and confidential information with professionalism and discretion. Exercise independent judgment while managing multiple priorities and deadlines in a fast-paced environment. Support onsite operations and maintain a professional presence in the office environment. Maintain flexibility with work schedules based on business and operational needs. Support sales-related administrative tasks and operational coordination as needed. Perform other related duties as assigned. Qualifications Previous administrative and sales support experience required. Experience preparing professional business presentations, including PowerPoint presentations, and supporting advertising and sales campaigns. Strong organizational, multitasking, and project coordination skills. Excellent verbal and written communication skills. Fully bilingual in English and Spanish required; strong professional English communication skills are essential. Advanced proficiency in Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Word. Ability to work independently and collaboratively in a fast-paced environment. Strong attention to detail and problem-solving skills. Ability to manage multiple priorities and meet deadlines effectively. Flexibility to adjust work schedules based on operational business needs. Physical Requirements Prolonged periods sitting at a desk and working on a computer. Ability to occasionally lift and move packages or sample materials. Work Environment Professional office environment with regular interaction with internal teams, vendors, customers, visitors, and company leadership. Position requires onsite presence and collaboration in a fast-paced business environment.
