Job Description

Job Overview We are seeking an energetic and highly organized Front Office Coordinator / Administrative Support professional to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing administrative tasks. Your proactive approach and excellent communication skills will help streamline office operations, support team members, and enhance overall office productivity. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced, supportive environment. Responsibilities Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression Manage multi-line phone systems with professionalism, answering inquiries promptly and directing calls accurately using proper phone etiquette Maintain organized filing systems, data entry, and document proofreading to ensure accuracy and confidentiality Handle scheduling, calendar management, and appointment setting for staff or executives using Google Workspace or Microsoft Office tools Support office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of the reception area Assist with bookkeeping activities using QuickBooks or similar accounting software when needed Provide clerical support including typing correspondence, preparing reports, and supporting data entry projects Experience Prior office experience with a strong background in administrative or clerical roles Proven customer service skills with the ability to handle diverse inquiries professionally Experience managing multi-line phone systems and demonstrating excellent phone etiquette Bilingual abilities are highly desirable to serve a diverse client base effectively Familiarity with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy is essential Knowledge of office management procedures such as filing systems, calendar management, and data entry processes Previous experience in medical or dental reception is a plus but not required; relevant personal assistant experience is also valued Join us to be part of a vibrant team where your organizational skills and proactive attitude will make a meaningful impact every day.
