Job Description

Job Summary We are seeking a dynamic and organized Construction Administrative Assistant to join our team! In this vital role, you will be the backbone of our construction projects, ensuring smooth office operations and effective communication across teams. Your energetic approach and attention to detail will help keep projects on track, support project managers, and provide exceptional customer service to clients and vendors. This paid position offers an exciting opportunity to develop your administrative skills within a fast-paced construction environment. Duties Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Maintain organized filing systems for project documents, contracts, and correspondence, ensuring easy access and accuracy Support bookkeeping tasks using QuickBooks or similar software, including invoicing, expense tracking, and financial record keeping Assist with calendar management for project schedules, meetings, and deadlines using Google Workspace or Microsoft Office tools Perform data entry and proofreading of reports, proposals, and correspondence to ensure clarity and accuracy Coordinate office supplies procurement and manage office management tasks to keep the workspace efficient and welcoming Provide customer support by responding promptly to inquiries from clients, vendors, or team members Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation and communication Strong organizational skills with the ability to multitask effectively in a busy office setting Excellent typing speed and data entry skills for accurate record keeping Knowledge of QuickBooks for bookkeeping and basic accounting functions Bilingual abilities are a plus to assist diverse clients and team members Experience with front desk operations, multi-line phone systems, and office management preferred Exceptional phone etiquette combined with professional customer service skills Strong proofreading abilities to ensure error-free documentation Familiarity with clerical tasks such as filing, calendar management, and time management techniques Personal assistant experience or office experience within a construction or related industry is highly desirable Join us in this energetic role where your organizational talents will drive project success! Pay:
