Job Description
Job Summary We are seeking a dedicated and friendly Admin Assistant to join our team. The ideal candidate will be responsible for providing exceptional customer service, maintaining a welcoming environment, and ensuring the smooth operation of club facilities. This role requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. Schedule Monday and Tuesday = 9AM - 2PM Friday and Saturday = 4PM - 8PM Duties Greet and assist club members and guests with a warm and welcoming demeanor. Monitor clubhouse entry and ensure only authorized users access the facility Answer phone calls, respond to emails, and relay messages to appropriate staff Assist with scheduling clubhouse reservations, amenity bookings, and events Provide basic information to residents regarding community rules, events, and policies Maintain a tidy and organized front desk, lobby, and shared spaces Receive and distribute mail or packages as needed Track and restock clubhouse supplies (office, restroom, kitchen, etc.) Assist with printing, filing, and other administrative tasks Support management with light data entry, document preparation, and communication to residents Help coordinate and oversee vendors or service providers during scheduled clubhouse maintenance Report any issues with the facility to maintenance or management promptly Requirements Proven experience in customer service or a related field is preferred. Strong computer literacy skills with the ability to navigate various software programs efficiently. Excellent phone etiquette with strong verbal communication skills. Ability to manage multiple tasks simultaneously while maintaining attention to detail. Experience with office administration duties is a plus. Must be comfortable working independently. A positive attitude and willingness to work as part of a team are essential for success in this role.
