The ideal candidate will provide essential support to daily office operations, ensuring smooth workflow and excellent customer service. This role requires strong computer literacy, exceptional organizational skills, and the ability to manage multiple tasks efficiently. Bilingual abilities are a plus, as well as experience with office management and clerical duties. The Office Administrative Assistant will serve as the first point of contact for clients and staff, handling various administrative functions with professionalism and attention to detail. Responsibilities Manage front desk operations, including greeting visitors and answering multi-line phone systems with proper phone etiquette Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office and QuickBooks for daily administrative tasks Provide customer support by addressing inquiries promptly and professionally Assist with bookkeeping, invoicing, and basic office management duties Maintain organized records and ensure confidentiality of sensitive information Handle correspondence via email and written communication with attention to detail Requirements Proven office experience with strong clerical skills and administrative background Proficiency in Microsoft Office (Word, Excel, Outlook) Experience with QuickBooks Excellent organizational skills with the ability to prioritize tasks effectively Strong typing skills and computer literacy for efficient workflow management Bilingual abilities are highly desirable to assist diverse client needs Demonstrated professionalism in phone etiquette and customer interactions Ability to handle multiple responsibilities simultaneously while maintaining accuracy and efficiency High school diploma or equivalent required; additional office management or administrative certifications are advantageous
