Office Administrative Coordinator Trident Real Estate d/b/a Trident Management - Pensacola, Florida Trident Management, a fast-paced, technology-driven property management and real estate firm, is seeking a full-time Office Administrative Coordinator for our Pensacola office. This individual will play a critical role in supporting executive leadership, streamlining office operations, and enhancing client service delivery. The ideal candidate is proactive, highly organized, and experienced in managing administrative functions in a dynamic, professional environment.

Key Responsibilities Executive & Operational Support Provide high-level administrative support to regional leadership and property managers. Manage executive calendars, schedule meetings, and coordinate logistics for internal and external engagements. Prepare reports, presentations, and correspondence for leadership and board meetings. Assist in planning and executing company events, training sessions, and strategic initiatives. Office Administration Oversee daily office operations, including supply inventory, vendor coordination, and facility needs. Maintain organized systems for digital and physical records, ensuring compliance with company standards. Process incoming and outgoing mail, packages, and payments with accuracy and confidentiality. Draft and edit business communications including memos, notices, and formal letters. Client & Resident Relations Serve as a professional point of contact for residents, board members, and vendors. Respond to inquiries via phone, email, and in-person with efficiency and courtesy. Support the onboarding and application process for real estate and association transactions. Assist managers with outbound communications and follow-ups to ensure timely resolution of issues. Technology & Systems Utilize company-supported platforms such as Vantaca, VendorSmart, RingCentral, Athena, Compliance360, Microsoft Office Suite, Google Workspace, and others. Maintain accurate data entry and reporting across systems. Troubleshoot basic tech issues and liaise with IT support when needed. Required Qualifications Fluency in English(written and verbal). Minimum 3-5 years of administrative experience in a professional office setting; real estate or property management experience preferred. Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace. Strong organizational and time management skills with the ability to prioritize and multitask. Excellent written and verbal communication skills. High level of discretion and confidentiality. Ability to work independently, take initiative, and solve problems proactively. Professional demeanor and customer service orientation. Strong attention to detail and accuracy. Sense of urgency. Preferred Qualifications Experience supporting executive-level staff or managing office operations. Familiarity with property management software (e.g., Vantaca, AppFolio, Yardi). Knowledge of Florida real estate and HOA/condo/co-op association processes. Project coordination or event planning experience.
