Administrative Assistant -
Elementary School SUMMARY:
Collage Day School is a dynamic, independent private day school in the beautiful Palm Valley area of Ponte Vedra Beach, Florida. We are part of International School Partnership's global community and serve students from infancy through elementary. Collage Day School is nestled on eight acres with winding nature trails and serene ponds. We provide your child with a safe and engaging environment that fosters not just their love of learning but also their eagerness to explore and understand the world around them. We are seeking an experienced administrative assistant who will perform confidential secretarial and clerical duties for the Elementary School. This individual will support the Director of the Elementary School and the school staff.
KEY RESPONSIBILITIES
Organize and maintain an efficient and effective office that handles a variety of tasks for the administration, faculty, students, and parents of the school Assist the Director of the Elementary School and staff in handling interruptions and emergencies Perform secretarial and clerical tasks of a varied nature. Many tasks will require a thorough knowledge of the rules and regulations of the school and the frequent exercise of independent judgment within the scope of the authority granted by the Director of Elementary Education Type, reproduce, and distribute notices to staff, students, and parents Act as a receptionist, greeting visitors, answering telephone calls pleasantly and efficiently, and communicating effectively in routine, sensitive, and confidential matters Maintain student calendar of events Create forms, compile, and organize data and information necessary for the efficient operation of the office Manage the front desk during summer camp Distribute lunches Complete all required monthly and year-end reports in a timely fashion Maintain Accreditation requirements and standards Assist in classrooms and before/after care when staffing is required Maintain sign-in sheets, record student tardies/absences and collect medical notes Monitors In School Suspension (ISS) Records student incidents; provides copies to the Director Provides daily walk-throughs of classrooms/campus and logs concerns Serves as an on-site assistant to the Enrichment Coordinator Ensures all enrichment teachers have a room assignment and attendance list Conducts fidelity checks on a random rotation to ensure enrichments are meeting the standards set by Collage Day School Reports any issues to the Enrichment Coordinator Other duties as assigned
QUALIFICATIONS REQUIRED
Bachelor's Degree in education, ECE, or related discipline strongly preferred. High School Diploma required. Individual must possess excellent verbal and written communication skills Ability to demonstrate professionalism at all times Demonstrate excellent secretarial skills, including at least 50 words per minute at the keyboard with a minimum of errors, general bookkeeping skills, organizational and filing skills, and the ability to use electronic equipment for word processing, data management, information retrieval, visual presentations, and telecommunications
SALARY/BENEFITS
Salary commensurate with experience. Starting rate of $25.00/hour Comprehensive benefits package including medical, dental, vision, matching 401(k), and paid time off.
