Job Description
Are you an organized, customer-focused professional who enjoys keeping things running smoothly behind the scenes? In this Seasonal/Temporary role , you'll provide a wide range of clerical, administrative, and public-facing support that helps the department serve residents, staff, and community partners efficiently and professionally. You'll serve as a key point of contact by assisting with the main phone line, supporting Solid Waste phone inquiries, greeting visitors, responding to requests, and helping route questions or concerns to the appropriate team members. You'll also prepare and edit correspondence, reports, forms, flyers, graphics, meeting materials, and other communications that support daily operations and public outreach. This position plays an important role in keeping records, projects, and office processes organized. Responsibilities may include maintaining databases, processing time and attendance records, assisting with budget and purchasing tasks, tracking expenditures, managing supply closet inventory, coordinating outgoing and incoming mail, and supporting records and filing systems. You'll also assist with specialized department projects, including RedSpeed evidence packets, MSBU graphics, review of MSBU meeting minutes, OptiSigns updates, Kudos recognition, event planning, and other communications or administrative assignments. You may also help coordinate meetings, prepare agendas and materials, support travel arrangements, and assist with vendor communication. Preferred Education and Experience:
An equivalent combination of relevant training, education and experience: High school diploma or equivalent Experience in clerical or administrative work, preferably in an office setting Licenses and/or
Certificates:
N/A Preferred Qualifications You have a working knowledge of departmental procedures, modern office practices, and Microsoft Office applications, including Word, Excel, and PowerPoint. Experience with governmental office operations, administrative support functions, and office technology is highly desirable. You are highly organized and able to manage multiple priorities while maintaining accuracy and attention to detail. Strong analytical, research, and problem-solving skills enable you to work independently, exercise sound judgment, and identify effective solutions to routine and complex administrative challenges. You communicate professionally and effectively, both verbally and in writing, and are comfortable preparing correspondence, reports, presentations, and other business documents. You possess strong customer service skills and can provide assistance and guidance to internal and external customers through a variety of communication channels. The ideal candidate is proficient in data entry and recordkeeping, capable of maintaining accurate files and reports, and able to interpret and apply policies, procedures, and regulations with discretion and professionalism. You build positive working relationships with coworkers, leadership, vendors, and the public, and thrive in a fast-paced environment that requires flexibility, initiative, and strong time-management skills.
