Job Description

Administrative Assistant:
Organization Established in 1991, Farm Share is a 501(c)(3) non-profit organization, dedicated to the recovery, sorting, packing and distribution of nutritious foods for people in need. Farm Share administers a combination of USDA commodity programs and produce recovery operations from a packinghouse located in Homestead, Florida - the heart of Miami-Dade County's farming area. For more information, please visit www.farmshare.org Position Job Description Reporting to the Facility Manager, the Administrative Assistant/TEFAP Agent has a variety of responsibilities and coordinates efforts in maintaining Farm Share's compliance with the USDA and Florida Department of Agriculture's TEFAP Commodities receiving, storage and distribution regulations. The Administrative Assistant/TEFAP Agent's main objective is to adhere to all policies and procedures for the organization while promoting Farm Share's mission and programs. The Administrative Assistant/TEFAP Agent performs the following functions:
  • Coordinate to ensure all agencies are educated on proper federal, state and organizational procedures & paperwork compliance.
  • Maintain detailed records and organized files on all agencies participating in Farm Share's TEFAP program.
  • Assist with annual physical inspections of all agencies to confirm compliance with rules and regulations.
  • Ensure organizational compliance with TEFAP rules and regulations.
  • Provide support with coordinating Community Food Distributions to serve persons in need.
  • Keeping accurate inventory of TEFAP products received and distributed.
  • Help organize and keep files in other department areas updated.
  • Answer multiple phone lines.
  • Assist with filing, scanning and any other office duties assigned.
  • Take detailed messages and ensure appropriate individual receives messages in a timely manner.
  • Type memos, correspondences, prepare reports, and other documents.
  • Prepare, send and receive packages through multiple mailing methods.
  • Order office supplies for members of office staff. Skill Set
  • Must be extremely detail oriented.
  • Must possess strong planning, problem-solving, and organizational skills.
  • Must possess strong computer skills including advanced knowledge of MS Outlook, Word, Excel and G-Suite by Google.
  • Able to communicate effectively and clearly in English.
  • Able to successfully complete projects in a detailed-oriented manner while working under tight timelines.
  • Able to foster, and work within, a dedicated team environment.
