Job Description

Job Overview We are seeking an organized Office Assistant to join our legal team and help keep our daily operations running smoothly. We are a small Legal Firm handling guardianship, estate planning and estate settlement cases. This role is vital in ensuring efficient office management, providing exceptional customer service, and supporting administrative functions across various departments. The ideal candidate will be proactive, detail-oriented, and possess good communication skills to foster a friendly environment for clients and staff. Pay/benefits are negotiable. Responsibilities Greet visitors and clients at the front desk with professionalism and warmth, managing multi-line phone systems with courteous phone etiquette. Handle incoming calls, direct inquiries, and provide accurate information using strong communication skills. Manage office supplies inventory, organize filing systems, and maintain accurate records through data entry and document proofreading. Support administrative tasks such as photocopying, scanning, mailing, and preparing documents using Microsoft Office and Google Workspace tools. Provide general office management support by maintaining a clean, organized workspace and ensuring smooth daily operations. Qualifications Proven office experience with strong clerical skills, including data entry, filing, and document proofreading. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Strong computer literacy combined with exceptional phone etiquette and professional communication skills. Previous experience as a receptionist or personal assistant in medical or dental offices is a plus but not required.
