Overview We are seeking a dynamic and detail-oriented Construction Office Assistant to join our team. In this vital role, you will serve as the backbone of our construction office operations, ensuring smooth communication, efficient administrative processes, and organized project support. Your energetic approach and organizational skills will help keep our projects on track and foster positive relationships with clients, vendors, and team members. This paid position offers an exciting opportunity to gain hands-on experience in the construction industry while honing your office management and clerical skills. You must be on time every day. Responsibilities Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette. Operate a single line phone system to handle inquiries, schedule appointments, and relay messages promptly. Maintain accurate records through data entry, filing, and document proofreading to ensure all project files are current and organized. Support bookkeeping tasks using QuickBooks for invoicing, and permitting jobs. Assist with office management tasks such as supply ordering, calendar coordination, and maintaining confidentiality of sensitive information. Provide excellent customer service by responding to client inquiries via phone or email and supporting project coordinators with administrative needs. Use Microsoft Office tools to prepare reports, correspondence, and project documentation efficiently. Keep our website updated and respond to our google reviews. Qualifications Previous office experience in a construction or related industry is preferred but not required. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with data entry and bookkeeping software like QuickBooks. Excellent organizational skills with keen attention to detail for proofreading documents and managing files. Exceptional communication skills, including phone etiquette and client interaction in a bilingual environment is a plus. Ability to handle confidential information responsibly while maintaining professionalism at all times. Demonstrated ability to multitask effectively in a fast-paced environment with strong time management skills. Personal assistant or clerical experience that showcases your ability to support office operations efficiently.
