Job Description

Overview Join SyberStone as an IT Administrative Assistant and play a key role in supporting the daily operations of our Managed Service Provider (MSP) business. This position serves as the administrative backbone of the organization by assisting with scheduling, customer communications, procurement, documentation, ticket coordination, and office administration. The IT Administrative Assistant works closely with leadership, technical staff, vendors, and clients to ensure efficient operations and exceptional customer service. This role provides a unique opportunity to develop knowledge of the IT industry while supporting a growing technology company. Responsibilities Answer and direct incoming phone calls, emails, and customer inquiries. Create, update, and coordinate service tickets within the PSA platform. Schedule onsite visits, remote support appointments, meetings, and project activities. Assist with client onboarding and offboarding processes. Coordinate communication between clients, technicians, vendors, and management. Prepare estimates, proposals, service agreements, and client documentation. Assist with procurement activities including obtaining quotes, placing orders, tracking shipments, and managing vendor communications. Maintain customer records, contracts, licensing information, and documentation systems. Support invoicing, billing preparation, collections follow-up, and payment tracking. Assist with maintaining internal processes, standard operating procedures, and administrative documentation. Manage office supplies, equipment inventory, and general office operations. Support marketing activities, event coordination, and client outreach efforts as needed. Ensure client requests are routed appropriately and receive timely follow-up. Maintain confidentiality of client and company information. Skills & Qualifications Strong administrative, organizational, and multitasking abilities. Excellent verbal and written communication skills. Customer service experience required. Strong attention to detail and accuracy. Proficiency with Microsoft Office and Microsoft 365 applications. Experience working with CRM, PSA, ticketing, or business management systems preferred. Ability to prioritize tasks and manage competing deadlines. Professional demeanor and positive attitude. Ability to work independently while supporting a collaborative team environment. Previous experience in an IT, technology, MSP, or professional services environment is preferred but not required.
Pay:
$14.00 - $18.00 per hour
