Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, handle inquiries, and provide excellent customer service support Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks Organize files, process paperwork, and ensure proper filing systems are maintained for easy retrieval Assist with calendar management, scheduling appointments, meetings, and coordinating events Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping Proofread documents for accuracy and clarity before distribution or filing Provide personal assistant support including task prioritization and time management Requirements Proven experience in office administration or clerical roles with a focus on customer service excellence Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools Familiarity with QuickBooks or similar bookkeeping software is preferred Excellent organizational skills with the ability to multitask efficiently in a busy environment Bilingual abilities are highly desirable to serve diverse client needs effectively Previous experience as a dental or medical receptionist is a plus; familiarity with medical or dental office procedures is advantageous Demonstrated phone etiquette and professional communication skills at all times Strong typing skills along with attention to detail for proofreading documents accurately Ability to manage time effectively and prioritize tasks in a fast-paced setting Join us in creating a positive impact through exceptional administrative support!
