Job Description

Tierra, Inc. is actively seeking an experienced Administrative Assistant for our Building Envelope and Facilities Consulting Department located at our office in Winter Garden, Florida. Prospective candidates should have some familiarity with working for an architectural, engineering, or construction firm. Candidates will also be expected to routinely assist other Departments when the need arises. The right candidate should have extensive knowledge of office software such as Microsoft 365, BlueBeam, Deltek, and Salesforce, and be able to work 40 plus hours per week in a professional office setting.
Essential Job Responsibilities:
Assist with scheduling; Maintain department shared calendar; Maintain department workflow within Trello; Perform reviews of reports and documents for formatting and grammatical errors; Routinely interact with clients; Assist in generating proposals and RFQ and RFP responses; Manage opportunities within Salesforce; Support minor accounting activities; Generate invoices within Deltek VantagePoint; Data entry and processing; Assist in managing project documents and folders; Assist managers with day-to-day tasks; Coordinate business development opportunities; Ensure the highest level of customer satisfaction for our clients.
The right candidate must be:
Willing to work the hours of 8:00 a.m. to 5:00 p.m., Monday through Friday, in a professional office setting. Due to workflow, overtime may be necessary from time to time. The candidate must have reliable transportation. The candidate should have the ability to handle multiple projects with accuracy, strong administrative skills, be detailed oriented, eager to learn, have exceptional customer service and commination skills, over the phone and in-person, with our customers and internal staff, and have a strong sense of urgency and independent problem-solving skills.
Qualifications:
AA degree or higher with at least 5 years providing support at a high level; Proficient computer skills and in-depth knowledge of the Microsoft 365 and Outlook, Deltek Vantagepoint and Salesforce programs; Excellent written and verbal communication skills;
Compensation and Benefits:
$18
  • $ 25 hourly salary, dependent on experience, education, and certifications; Annual bonus opportunity; 401k matched up to 4%; Medical, dental, and vision insurance; Paid holidays, vacation, sick, and personal days.
