An Office or Administrative Assistant performs administrative work in an office. Works in a wide variety of office settings, such as a company or business, or a government office or school. Manages paper and electronic files, uses office equipment including computers, responds to phone calls and emails, routes mail and maintains calendars and schedules.
Under general direction of the Director of Operations, the ideal candidate will provide administrative support to the Operations team and perform pertinent administrative service, billing, and installation related duties to ensure smooth flow of administrative service functions. Natural Gas Industry or other Utility experience and knowledge of Orange/Lake Counties highly desired. Responsibilities Provide administrative support for Operations Department, including, but not limited to creating, printing, and completing gas construction work orders and related documents. Scan and maintain files of construction and maintenance work orders in Elements. Monitor and correspond with Service and Leak line phone calls, voicemails, and emails. Monitor next day's workload, notifying Customer Service and Measurement and Regulatory Supervisor of scheduling time frames. Dispatch orders to Service Techs for non-pays, leaks, cut lines, etc. Enter and complete construction word orders. Upload drawings, maps, as-builts, OQ, welding/joining certifications, and material list to Elements. Utilize computer skills to design forms for gas maintenance, new construction, and inspections as assigned. Assist technicians with work orders, questions, reassignments, and corrections. Monitor builders' email box and make necessary work orders. Process reports of cut lines and cut mains, gathering or researching billing information if needed. Send appropriate email notification to inform of damage after dispatch of work order. Process billing of cut line and leak work orders for customers, builders, or contractors and notify District Accountant for preparation of invoice. Receive service relocation requests and coordinate with Distribution Supervisor for work order prep and job assessment. Bill customer upon completion of work. Complete and apply charges as needed for moving risers. Prepare bills for materials received from warehouse based on data from storeroom issue slips. Calculate or coordinate billing with Accountant. Process demo permits, including verification of service. Coordinate with customers and schedule for meter upgrades. Report damaged utilities such as cable, power, etc., so proper repairs can be completed. Generate miscellaneous work orders as required. Assign gas I.D. numbers by phone and/or email. Attend training sessions as assigned by Director of Operations. Coordinate with Director of Operations to ensure phones are covered during periods of absence such as lunch, sickness, and vacation. Complete other related projects and special assignments as assigned by Director of Operations. Knowledge, Education & Skill Requirements Requires graduation from high school or possession of an acceptable equivalent diploma. Should have a minimum of five (5) years experience in progressively responsible administrative work related to service and installation of natural gas, as well as a good overall knowledge of gas service work and the Orange/Lake County service areas. Must be proficient on computer and have ability to learn applicable programs for job completion. Must have ability to communicate tactfully with customers and co-workers and manual dexterity to operate equipment and keyboards. Requires ability to gather and process data and compile information to prepare documents, forms and reports and develop and maintain efficient recordkeeping systems.
