Job Description

Position Overview Oak Wood Associates, Inc. is seeking a reliable and detail-oriented Office Administrative Assistant to support front desk operations and administrative functions within our cooperative community. This role is responsible for resident interaction, office organization, and assisting with billing and financial processing in a structured, procedure-driven environment.
Schedule Part-Time:
3-4 days per week Monday through Friday (days assigned based on office needs) 9:00 a.m. to 1:00 p.m. Key Responsibilities Front Desk & Resident Services Answer phones and assist residents, visitors, and vendors Process forms, requests and general office communications Provide accurate information and route inquiries to appropriate personnel Office Administration Maintain organized resident records and office files (electronic and paper) Process incoming/outgoing mail, including confidential materials Prepare general correspondence, notices, and office documents Billing & Payment Processing Receive and process resident payments (checks and cash) Verify payment details (amounts, signatures, lot numbers) Prepare and record bank deposits and maintain financial logs Assist with monthly billing preparation and distribution Financial & Operational Support Assist with invoice processing and accounts payable documentation Support petty cash tracking and basic financial recordkeeping Coordinate timesheets and assist with payroll preparation General Office Operations Perform opening and closing procedures Maintain office supplies and equipment Enter and update data in office systems Assist with special projects and administrative tasks as assigned Qualifications High school diploma required Prior office or administrative experience preferred Strong organization and attention to detail Proficiency in Microsoft Office (Word, Excel, Outlook) Ability to follow structured procedures accurately Strong communication and customer service skills Basic understanding of bookkeeping or financial processes is a plus Work Environment Office setting with frequent interaction with residents and vendors Requires professionalism, accuracy, and confidentiality Position involves handling sensitive financial and resident information
