Job Description

Job Overview We are seeking a dynamic and highly organized Secretary to join our team! This vital role offers the opportunity to be the backbone of our office operations, ensuring smooth communication, efficient scheduling, and exceptional customer service. The ideal candidate will possess strong administrative skills, excellent computer literacy, and a proactive attitude. As a Secretary, you will serve as the first point of contact for visitors and callers, manage essential office functions, and support various departments with your organizational expertise. Your energy and enthusiasm will help foster a welcoming environment and keep our operations running seamlessly. Duties Answer multi-line phone systems promptly with professional phone etiquette, directing calls efficiently and courteously Greet visitors at the front desk with a friendly demeanor and assist with check-in procedures Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace tools Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records Handle office management tasks such as supply ordering, mail distribution, and maintaining cleanliness of common areas Provide exceptional customer support by addressing inquiries via phone or email and offering timely assistance Support bookkeeping activities using Paychex or similar software to track expenses and manage invoices Experience Proven office experience or clerical background with a minimum of one year in an administrative role Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software Experience managing multi-line phone systems and front desk operations in a fast-paced environment Bilingual abilities are highly desirable to assist diverse client needs effectively Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively Personal assistant or medical/dental receptionist experience is a plus, especially if familiar with calendar management and patient communication Knowledge of bookkeeping practices using QuickBooks or similar accounting tools is preferred Join us as a Secretary to bring energy, professionalism, and precision to our office!
