This vital role involves providing exceptional administrative support, managing front desk responsibilities, and maintaining efficient office workflows. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a welcoming atmosphere for clients, visitors, and team members alike. Duties Greet visitors, clients, and vendors with professionalism and courtesy at the front desk Manage multi-line phone systems, screen calls, and direct inquiries efficiently Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for accurate record-keeping Organize and maintain filing systems, both physical and digital, ensuring easy retrieval of documents Assist with calendar management and scheduling appointments for staff members Support bookkeeping activities such as invoicing, billing, and basic financial record management Handle clerical duties including proofreading documents, preparing correspondence, and managing office supplies Provide excellent customer service by addressing inquiries promptly and professionally Support office management tasks to enhance overall office productivity and organization Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or similar accounting software is highly desirable Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Bilingual abilities are a plus to assist diverse client needs Demonstrated clerical experience with data entry, filing, proofreading, and document management Exceptional phone etiquette and customer support skills for front desk operations Strong time management skills to prioritize tasks efficiently Personal assistant or medical/dental receptionist experience is advantageous but not required Knowledge of office management best practices and administrative procedures Join us as an Office Assistant to be a key player in creating a welcoming atmosphere while supporting daily operations with energy and professionalism.
