Job Description

Overview We are seeking a dynamic and organized Front Office Coordinator to join our team and serve as the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to create a positive first impression for visitors, clients, and staff alike. This paid position offers an exciting opportunity to develop your office management expertise in a fast-paced environment. Duties Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, directing calls efficiently and courteously Handle all front desk responsibilities including checking in visitors, scheduling appointments, and maintaining visitor logs Perform data entry, filing, and document proofreading to support administrative functions Maintain office supplies inventory and coordinate with vendors for replenishments as needed Utilize Microsoft Office Suite and Google Workspace tools for correspondence, calendar management, and record keeping Assist with clerical duties such as photocopying, faxing, and organizing files to keep the office running smoothly Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and professionalism Manage calendar appointments for staff or executives, ensuring efficient time management and scheduling Experience Proven office management or administrative experience in a professional setting Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills Previous experience working at a front desk or reception area in dental offices is highly desirable Bilingual abilities are a plus to effectively communicate with diverse clientele Demonstrated customer service skills with the ability to handle multiple tasks simultaneously in a fast-paced environment Clerical experience including filing, proofreading, and document organization Familiarity with multi-line phone systems and phone etiquette standards Excellent organizational skills coupled with strong time management abilities to prioritize tasks effectively Personal assistant or medical receptionist experience is beneficial but not required Join us as a Front Office Coordinator to be the friendly face that keeps our operations running smoothly while delivering outstanding support to our team and visitors!
