full-time Job Summary This US-based position serves as the primary communications hub connecting the China-based management team with local American factories, clients, and staffing agencies. Key responsibilities include managing email correspondence, reconciling invoices and bills, receiving and confirming client orders, and facilitating cross-functional coordination. Key Responsibilities 1.
HR & Labor Coordination Minor Recruitment Support:
Assist in recruiting Supervisors. Frontline workers are temporarily managed by external staffing agencies; this role does not involve complex labor law matters.
Cultural & Operational Bridge:
Serve as a communication bridge between the China-based team and American workers, using an understanding of local mindsets and business etiquette to manage internal and external negotiations. 2.
Operations & Billing Management Invoicing & Accounts Payable:
Regularly monitor work email, reconcile staffing agency invoices at the end of each month, prepare and submit payment documentation, and maintain email correspondence with agency partners.
Order Processing & Client Support:
Handle order intake from US clients via email, ensuring prompt responses, orderly record-keeping, and management of local client affairs. 3.
General Factory Administration & Liaison Facility Services Management:
Oversee and coordinate local plant administration tasks (e.g., scheduling pest control and maintenance services with vendor teams).
Information Flow & Syncing:
Track copied client emails, ensure seamless information routing across channels, and keep the China-based domestic team informed.
Cross-Functional Alignment:
Maintain steady operational alignment and timely updates with both internal teams and external business partners.
Qualifications Bilingual Proficiency:
Fluent in English and Chinese (both written and spoken) with the ability to handle professional email correspondence and verbal communication independently.
Local Market Context:
Based on-site in the US with a strong understanding of local workplace culture, communication styles, and business practices.
Relevant Experience:
Background in administration, executive assistance, or operational coordination, with proven multitasking abilities and strong inbox management skills.
Key Competencies:
Excellent interpersonal communication, prompt information sharing, high attention to detail, and proficiency in statement reconciliation and document organization.
