Position Overview:
Delta Metals seeks a strong customer service-oriented office assistant to manage our office. The ideal candidate will have impeccable time management skills, always uphold professionalism, thrive in a fast-paced environment, and be able to work independently.
Duties & Responsibilities:
Answer and direct all phone calls to the main company phone line Screen phone calls and take/deliver detailed messages Take phone messages and forward those via email with callers' name, company name, return phone number, time of call, reason for calling, and any additional notes Greet all office guests politely and professionally Manage, straighten, and organize the front desk and lobby area Coordinate with upper management to schedule meetings, client visits, and company events Stock the copy area, custodial closet, and office supply cabinets; report when stock is low for reorder Scan and sort electronic documents into various programs and electronic folders. Collect and sort all mail and packages; only open DM general mail and stamp that it was received and deliver accordingly. If mail is addressed to a specific person, deliver unopened mail to that person. Provide administrative support to all team members as necessary Provide a weekly timecard report to HR every Monday morning for the previous week Maintain job to PM assignments in Foundation Mobile Answer guests' and employees' questions professionally; respond to requests in a timely manner Assist with onboarding new employees, specifically with timeclock set-up, new hire photographs, and access to Safety HQ, tablet and app set-up. Set up all company tablets for employees, ensuring employees are correctly logged in and can access and use the software properly Update and print the

drive production report every day and deliver to shop foremen Manage Key-Café and our issued-key inventory; collect keys at offboarding Track the completion of jobs and billing and make all appropriate lien law posts. Decorate the office for holidays Provide occasional tours of the office Document translation from English to Spanish, when needed Work collaboratively with HR to update and maintain the Email Memo Blast group and employee phone list Manage Marketing TV and shop TV, updating frequently Serve coffee, water, etc. to all office guests, as appropriate Support the Human Resources manager with company events, meetings, etc. Support the Safety & Training manager with updating all TV content in the facility. Occasionally assist with cash box distribution when requested Laminate all documents when requested Assist with preparing Employee of the Month recognitions and other awards Create labels when requested All other duties as assigned by management
Skills & Requirements:
High school diploma or equivalent Impeccable time management Ability to work Monday-Friday, 8:00 am to 5:00 pm with a one-hour lunch break Ability to prioritize tasks and meet deadlines Excellent attendance and strong work ethic Self-starter- someone who does not always need to be directed- they know what work needs to be done and they do it Professional demeanor and attire a MUST; business casual attire expected Ability to maintain discretion and manage confidential information Two years of relevant work experience Ability to sit for prolonged periods of time High proficiency with MS Office suite software programs to include Outlook email, word, excel, and power point Discretion/confidentiality required when knowledge of sensitive material when supporting HR and CEO. Ability to operate scanners, copiers, and printers

Salary:
Starting at $20/hour, but depends on experience
