Job Description:
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to provide administrative and operational support. This individual will play a key role in keeping executive calendars, meetings, communications, documentation, and day-to-day logistics running smoothly. The ideal candidate is polished, dependable, highly organized, and comfortable working with senior-level executives in a fast-paced environment. This role requires someone who can anticipate needs, manage competing priorities, and handle confidential information with professionalism and discretion.
Key Responsibilities:
Manage and maintain executive calendars, including scheduling, rescheduling, prioritizing, and coordinating meetings and appointments Monitor executive email correspondence and assist with organizing communications and follow-up Provide administrative support to the President, COO, Chief Commercial Officer, and Americas leadership team Coordinate executive meetings, including invitations, agendas, conference rooms, technology needs, and other logistics Prepare, print, organize, and distribute documents, presentations, agendas, and meeting materials Compile operational reports and other documentation in preparation for leadership meetings Attend the Monthly Operations Review meeting with senior leadership and plant locations Coordinate and distribute meeting agendas and ensure appropriate team members are aware of meeting schedules and executive availability Coordinate light domestic and international travel arrangements, including flights, hotels, and accommodations Provide travel support for executive board members visiting the organization as needed Manage expense reporting through Concur, ensuring expenses are accurately documented and submitted in a timely manner Prepare conference rooms and meeting spaces prior to executive meetings Ensure beverages, presentation materials, technology, and other necessary items are available and organized Support meeting follow-up, including tracking action items and ensuring required materials are available Serve as a reliable point of contact for executive-level administrative needs Anticipate executive needs and proactively identify and resolve scheduling or logistical issues Handle sensitive and confidential information with a high degree of discretion and professionalism Provide general administrative and operational support to the leadership team as needed Take on additional responsibilities and special projects as assigned
Qualifications:
3-5 years of experience in an administrative or executive support role preferred Strong desire to learn, grow, and develop within an organization Highly motivated, driven, and proactive with a strong work ethic Excellent interpersonal and communication skills Strong business maturity and professional presence Highly organized and detail-oriented Ability to anticipate needs and proactively provide solutions Comfortable working with C-suite executives and senior leadership Ability to manage competing priorities in a fast-paced environment Strong judgment, discretion, and confidentiality Ability to take direction and receive coaching while demonstrating initiative Intermediate Excel experience Proficiency with Microsoft Office Suite Strong PowerPoint skills Addison Group is an Equal Opportunity Employer.
