Job Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is essential in ensuring the smooth operation of daily office functions, providing exceptional support to staff and clients alike. The ideal candidate will bring a positive attitude, strong technical skills, and a passion for maintaining an efficient, welcoming environment. In this role, you will handle a variety of administrative tasks, manage communication channels, and support office management initiatives to foster productivity and professionalism across all departments. Duties Perform data entry and maintain accurate records using spreadsheets, Microsoft Office applications, and Google Workspace tools. Handle front desk responsibilities including greeting visitors, managing appointments, and maintaining a tidy reception area. Assist with bookkeeping tasks such as invoicing, billing, and basic financial record keeping using QuickBooks or similar software. Support office management by organizing files, managing calendars, scheduling meetings, and coordinating appointments. Provide excellent customer service by responding to client inquiries via phone or email and ensuring their needs are met efficiently. Maintain office supplies inventory, organize filing systems (both digital and physical), and ensure all office equipment functions properly. Qualifications Proven experience in an office setting with strong clerical skills and familiarity with administrative procedures. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy. Experience with QuickBooks or other bookkeeping software is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong communication skills including phone etiquette and client interaction; bilingual abilities are a plus. Previous experience as a receptionist or administrative assistant in medical or dental offices is advantageous. Demonstrated technical proficiency with multi-line phone systems, spreadsheets, data entry, and document proofreading.
