SUMMARY:
The Administrative Assistant will perform a variety of tasks each centered on maintaining the quality of the units in our portfolio. This is primarily a coordinating role within our Quality Control Department, which will require good & clear communication skills with our maintenance vendors, clients, guests, and team members. Aside from minor field work, applicants will not be performing the maintenance; but a basic knowledge of household maintenance is a plus. Organization and follow-up is key.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Answer phone calls and respond to maintenance-related emails from tenants, inspectors, and independent contractors. Troubleshoot simple solutions and rule out user error with tenants in the unit. Provide excellent customer service to renters and communicate clearly with our vendors, clients, and departments. Moderate computer skills and excellent phone etiquette. Log service orders into records. Excellent organizational skills, time management, and follow-through. Have a basic understanding of interior home maintenance. Must have a vehicle and be able to visit units in our inventory on occassion. Able to lift up to 50 lbs. with reasonable accommodations. Verify and process maintenance invoices Follow up on job progress to make sure they are being completedin a timely manner. Regular and prompt attendance.

Procure and add new maintenance vendors to our contact list. Assist and help organize shipments in office.

QUALIFICATIONS

Experience working in maintenance or customer service, preferably in the hospitality or travel industries. Customer-service experience. Excellent written and verbal communication skills. Multi-tasking and time-management skills, with the ability to prioritize tasks. Proficient in typing and basic computer skills. Flexible working hours. EDUCATION and/or
EXPERIENCE
High school diploma or equivalent.
LANGUAGE SKILLS
Ability to read and write routine correspondence to guests and complex site personnel.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide using whole numbers. Take basic measurements and log details.
CERTIFICATES, LICENSES, REGISTRATIONS
Valid driver's license and access to an insured vehicle.
WORK ENVIRONMENT
The noise level in the work environment is usually moderate.
