Job Description

Overview We are seeking a dynamic and highly organized Office Administrative Assistant to join our team. This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff, clients, and visitors alike. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to manage a variety of administrative tasks efficiently. Responsibilities Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately Manage multi-line phone systems, answer inquiries professionally, and route calls accurately Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry and record keeping using tools such as Microsoft Office and Scheduling Software Handles scheduling for our clients and technicians Assist with bookkeeping tasks using QuickBooks or similar accounting software Support office management activities including supply inventory, ordering, and maintenance coordination Provide excellent customer service by addressing client needs promptly and courteously Proofread correspondence, reports, and other documents for accuracy and clarity Perform clerical duties such as photocopying, scanning, mailing, and document preparation Skills Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) Strong organizational skills with the ability to prioritize tasks effectively Excellent phone etiquette and experience managing multi-line phone systems Previous office experience in administrative or clerical roles preferred Familiarity with QuickBooks or bookkeeping software is advantageous Exceptional typing speed and accuracy for data entry tasks Strong attention to detail for proofreading and document review Effective time management skills to handle multiple responsibilities efficiently Join us in creating a welcoming environment where professionalism meets energetic support!
