Job Description

Job Summary We are seeking a dynamic and highly organized Personal Bilingual Assistant and Medical assistant with strong proficiency in Excel and medical software systems to provide exceptional support to a busy professional. This role requires fluency in two languages, strong administrative skills, and a proactive approach to managing daily tasks. As a key partner in the executive's success, you will handle a variety of responsibilities, from scheduling and correspondence to event planning and office management. Your energetic attitude and attention to detail will ensure smooth operations and seamless communication in a fast-paced environment. I need somebody spanish and English speakers, We do not offer health benefits, but we do offer bonuses and free refreshments. Duties Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events efficiently. Provide comprehensive executive administrative support, including email correspondence, document proofreading, transcription, and data entry. Coordinate projects and events from inception to completion, ensuring deadlines are met and logistics are handled smoothly. Handle office management tasks such as filing, front desk duties, multi-line phone system operation, and maintaining office supplies inventory. Utilize QuickBooks for basic bookkeeping tasks like invoicing, expense tracking, and financial record keeping. Maintain excellent phone etiquette while communicating professionally with clients, vendors, and team members across multi-lingual platforms. Support personal errands or tasks as needed to assist the executive in maintaining productivity and work-life balance. Qualifications Proven experience in administrative roles such as personal assistant, office manager, or executive support. Bilingual proficiency in [specify languages], with excellent verbal and written communication skills in both languages. Strong organizational skills with the ability to prioritize multiple tasks effectively. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and familiarity with Microsoft Outlook Calendar. Experience with QuickBooks for bookkeeping and basic financial management. Skilled in event planning, project coordination, data entry, proofreading, transcription, and clerical duties. Exceptional customer service skills with professional phone etiquette on multi-line systems. Ability to adapt quickly to changing priorities while maintaining attention to detail. Office experience including filing systems, front desk operations, office management software (e.g., DocuSign), and data entry tools.
