Job Summary We are seeking a dedicated and organized individual to join South Hills Middle School as a full-time Attendance Secretary. This role is essential in maintaining accurate attendance records, supporting the administrative team, and ensuring effective communication between staff, students, and parents. The ideal candidate will demonstrate strong interpersonal skills, attention to detail, and a commitment to fostering a positive school environment. Responsibilities Manage daily attendance records, including tracking student absences and tardies. Communicate with parents regarding student attendance issues and follow up on unexcused absences. Prepare and distribute attendance reports to school administration and staff as needed. Assist in the enrollment process by collecting and verifying student information. Maintain student attendance files and ensure compliance with district policies and regulations. Collaborate with teachers and staff to address attendance-related concerns and implement intervention strategies. Answer phone calls and respond to inquiries from parents, students, and staff regarding attendance matters. Support the school's administrative team with various clerical tasks, including filing, data entry, and record keeping. Assist in organizing and coordinating school events, including attendance tracking for extracurricular activities. Uphold confidentiality and professionalism in handling sensitive student information. Requirements High school diploma or equivalent; additional education or training in office administration is a plus. Previous experience in a school setting or administrative role preferred. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with school management software. Strong organizational skills with the ability to manage multiple tasks and prioritize effectively. Excellent verbal and written communication skills. Ability to work collaboratively in a team-oriented environment. Strong attention to detail and accuracy in record-keeping. Knowledge of school attendance policies and regulations is a plus. Ability to maintain confidentiality and handle sensitive information with discretion. This is an "at will" position in that the employer may terminate employment at any time for any reason consistent with applicable state or federal law. The employment "at will" policy cannot be changed verbally or in writing, unless the change is specifically authorized in writing and approved by the Board of Trustees of District 411. All recommendations for hire are tentative offers. Employment is contingent upon board approval, and successful completion of a federal background check and drug-free workplace pre-employment screening.
