GENERAL RESPONSIBILITIES

This is administrative support work involving a variety of tasks related to the operations of the district office. The employee must be able to make decisions based on established guidelines. There is considerable contact with District and building administrators, Board of Education members, staff members from all workgroups, outside officials, the community, students and parents. An employee in this position works with clearly established systems and procedures, must exhibit organizational skills, and exercise independent judgment and confidentiality in the performance of duties. The Administrative Assistant II must exhibit initiative and embrace a collaborative team approach to accomplish the mission of the district.

QUALIFICATIONS

Must have a High School Diploma or equivalent. Must have physical ability to lift/move supplies, materials and office equipment up to 40 lbs. Must sit at workstation for extended period of time and/or move frequently from workstation to various other areas of building. Must organize and prioritize workflow. Must be proficient in the use of computers, office practices, procedures, and office equipment. Must project a positive image of the district to students, staff and parents as well as exhibit a positive employee attitude. Must demonstrate appropriate interpersonal skills, and communicate clearly and respectfully with students, staff, parents, visitors, and the general public. Must have awareness of a variety of student needs including physical and social emotional needs. Must have strong organizational, communication, and public relations skills.

POSITION EXPECTATIONS

Providing administrative support services for the Associate Superintendent or Director. Maintaining a working understanding of varying building needs and priorities as well as communicating with various departments, district partners/vendors in order to best support office needs. Managing and maintaining the completion of required forms and documentation. Exercising a significant level of discretion including managing highly confidential personal and financial information. Maintaining electronic records in various systems. Coordinating and organizing District-wide events. Preparing a variety of department, district or state reports and related data. Supporting programs and special projects by preparing and distributing information and maintaining appropriate records. Relieving the administration center receptionist according to a prepared schedule. Participating in appropriate professional development activities in order to enhance job performance. Cultivating and developing inclusive and equitable working relationships with staff, students and community members.
