Summary
Reporting to the Director/Executive Director for Gift Planning, the Gift Planning Coordinator provides comprehensive administrative and operational support for planned giving activities. Essential Functions
Support estate and trust administration, including tracking payments, preparing documentation, maintaining records, and assisting with correspondence and reporting.
Partner with Advancement staff and donors to create gift and fund agreements documenting the type and purpose of major/planned gifts to BGSU.
Manage and track reporting deadlines and outstanding planned giving proposals, as well as strategies for collateral materials and education tools to support Advancement staff on solicitation and grant requests.
Coordinate and process guideline agreements and donor intent statements, including routing for signatures, preparing acknowledgment materials, and maintaining tracking systems and archives.
Prepare and review bequest expectancy reports, ensuring accurate donor records, calculations, and internal coordination for proper recording.
Collaborate in identifying opportunities to improve workflows, tracking systems, and documentation processes to enhance efficiency and compliance.
Maintain and update internal procedures, guides, and materials related to planned gift acceptance and operations.
Deliver general office support, including calendaring, managing communications, processing mail and financial documents, preparing reports, and responding to inquiries related to gift planning procedures.
Complete special projects, other duties, and participate in University Advancement activities, as assigned
Minimum Qualifications
The following Degree is required:
Associate's degree The following Degree is preferred:
Associate's degree in Paralegal Studies or another degree with a Paralegal Studies Certificate The following Experience is required: 3 years of experience in an estate or financial planning field
3 years of experience working within complex business reporting or CRM systems
The following Experience is preferred: 3 years of experience in grant or other business/proposal writing The following Licensure, Certifications, or Registration is preferred:
Paralegal Studies certificate

Exemplary interpersonal and communication skills
Knowledge of estate and trust administration
Ability to manage multiple tasks and responsibilities with little supervision, work under time constraints, meet deadlines and demonstrate flexibility in instances of shifting priories
Advanced technical skills, particularly experience in complex CRM database systems
Ability to make complex decisions, problem-solve and work cooperatively and effectively with partners across campus
Ability to appropriately communicate sensitive information and to judge how and with whom this information should be shared
