Purpose:

The Administrative Assistant provides comprehensive administrative, clerical, and organizational support to the Cabinet Directors and assists with the day-to-day operations of South Cook Intermediate Service Center. This position serves as an important point of contact for staff, school districts, community partners, vendors, and visitors and is expected to provide professional, responsive, and confidential support. The Administrative Assistant must be highly organized, dependable, detail-oriented, and able to manage multiple priorities in a fast-paced educational environment. The position requires strong communication skills, sound judgment, initiative, and the ability to handle confidential and sensitive information with discretion.

Qualifications:

High school diploma or equivalent required; associate's or bachelor's degree preferred. Minimum of 2-3 years of administrative, clerical, or office support experience preferred. Experience working in a school district, educational organization, or similar professional environment preferred. Strong written and verbal communication skills. Excellent organizational, time-management, and problem-solving skills. Proficiency with Google Workspace, including Gmail, Calendar, and shared electronic files. Ability to learn and effectively use organizational software, databases, and other technology platforms. Ability to manage multiple assignments, deadlines, and competing priorities with accuracy and attention to detail. Ability to work independently while also collaborating effectively with administrators, staff, and external partners. Demonstrated ability to maintain confidentiality and appropriately handle sensitive employee, student, financial, and organizational information. Strong interpersonal and customer-service skills with the ability to interact professionally with a diverse group of individuals.

ESSENTIAL DUTIES AND RESPONSIBILITIES

•other duties may be assigned Provide administrative and clerical support to Cabinet Directors as assigned. Manage calendars, schedule meetings, coordinate appointments, and assist with meeting logistics. Prepare, format, proofread, copy, distribute, and maintain correspondence, reports, presentations, agendas, meeting materials, and other documents. Receive and appropriately respond to telephone calls, emails, visitors, and general inquiries, directing individuals to the appropriate staff member or department when necessary. Maintain accurate electronic and paper filing systems, records, databases, spreadsheets, and shared documents. Enter, update, retrieve, and organize information using organizational databases and technology systems. Assist with tracking deadlines, projects, reports, contracts, forms, and other administrative requirements. Process purchase requests, invoices, reimbursements, registrations, and other documentation in accordance with established procedures. Assist with travel arrangements, conference registrations, and related documentation as needed. Communicate professionally with South Cook employees, school district personnel, administrators, vendors, community partners, and members of the public. Provide administrative support across departments when additional assistance is needed. Maintain confidentiality regarding personnel matters, student information, organizational records, and other sensitive or privileged information. Identify administrative needs and proactively assist Cabinet Directors with improving office organization, communication, and workflow. Maintain a professional, welcoming, and service-oriented environment. Demonstrate regular and reliable attendance and punctuality.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer. Regularly required to talk and hear to exchange information in person and by telephone. Frequently required to use hands and fingers to handle or operate standard office equipment. Occasionally required to stand, walk, reach with hands and arms, and stoop or kneel. Must be able to lift and/or move up to 20 pounds occasionally (e.g., office supplies, files). Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.

Work Environment:

Work is generally performed in a standard office setting with moderate noise levels (e.g., conversations, printers, phones). The position requires the ability to work in a fast-paced environment with frequent interruptions. Duties may involve occasional travel between work sites, schools, or off-site meetings. Work hours are typically during the standard business day, but occasional evening or weekend work may be required for meetings or events. The work environment is generally climate controlled and ergonomically equipped.
